Vault Tax Notice & Document Management

Encrypted, End to End

Send us your tax notices, or make TaxDo your address of record. Either way a tax specialist reads every notice, tells you plainly what it requires and prepares the response for your signature.

It all lives in TaxDo Vault — notices, documents, messages, signatures and the audit trail. The platform is included. What you are buying is the handling.

See How It Works
What a notice actually is

A Notice Is a Deadline Nobody Told You About.

Tax authority correspondence does not arrive in one place, does not announce its urgency, and does not wait. Most of it lands at an address or an inbox nobody owns.

Escalation

Silence is treated as agreement

An unanswered information request becomes an estimated assessment. That becomes a lien or a suspended registration. No one at the authority has to decide anything for this to happen.

Distance

It arrives where nobody is looking

Paper to a US address you do not staff, PDFs to a shared inbox, portal alerts nobody logs into. Half the response window is gone before it reaches anyone who can act.

Confidentiality

Unauthorized staff see your confidential tax information in the notice

A notice spells out your revenue, your registrations and what the authority believes you owe. Delivered to a reception desk or a shared inbox, it is read by whoever opens the post — long before it reaches the one person who should see it.

Exposure

A notice tells you something you did not know

A nexus questionnaire means a state already believes you owe them. Read late, it is a problem. Read on arrival, it is a decision you still get to make.

Evidence

Two years later nobody can find it

An auditor, an acquirer or a new advisor asks what the authority sent and what you said back. It is in someone’s email, and that someone has left.

Two ways to run it

Keep Your Address, or Give Us Yours.

The handling is identical either way. What changes is whether a notice can sit unopened before it reaches anyone who understands it.

The complete version

TaxDo is your address of record

You give the authorities our address. Every notice arrives directly to a desk staffed by people who read tax correspondence for a living — digitised, classified and on the clock the same day.

  • Nothing depends on anyone noticing an envelope
  • Nothing waits on a reception desk, a registered agent or a forwarding pouch
  • US address included for foreign businesses registering for US sales tax
  • You see the notice at the same moment we do

Requires a change of address with each authority. We prepare those filings and handle it jurisdiction by jurisdiction.

Start here — nothing to change

Keep your address, send us the notice

Notices keep arriving wherever they arrive today — your office, your registered agent, your accountant. When one turns up, scan it into your Vault and the tax team takes it from there.

  • Upload to a designated area of your account, from any device
  • Reviewed by a specialist, not routed to a queue
  • Recommended action proposed, and the response drafted if you want it
  • Signed, filed and archived through the Vault exactly as above

One gap remains: the clock starts when you upload it, not when it arrived. If a notice sits on a desk for three weeks, nobody can give those weeks back — which is why most customers move to the address of record eventually.

How the service works

Our Desk. Your Decision.

However a notice reaches us, everything after that runs on a clock we manage.

01

Reaches us

Delivered to the TaxDo address, or scanned into your Vault by you — captured and digitised either way.

02

Classified

Authority, entity, jurisdiction, notice type and the statutory response window identified and logged.

03

Reviewed

A specialist reads it and tells you what it is, what it requires, and what happens on the first day after the deadline.

04

Prepared

The response is drafted for you, discussed in secure messaging, and signed with legally binding e-signature.

05

Retained

Notice, response, signatures and access log kept as an exportable evidence chain — permanently.

Where a jurisdiction allows it and you authorise it, we submit the response for you. Where it requires a signed power of attorney, we put that in place first.

What arrives

Eight Notices That Account for Almost Everything States Send.

Each one means something different and each one runs on a different clock. Most of the damage comes from not knowing which one you are holding.

Nexus questionnaire

The state believes you may already have an obligation there and wants it confirmed in writing, such as the Texas Nexus Questionnaire (Form AP-114, franchise tax).

Answer carefully — it sets the start date

Notice of determination

Also called a notice of proposed assessment: tax the state says you owe, often estimated because nothing was filed.

Protest window, set on the notice

Delinquency / non-filing

A return the state expected has not arrived. Left alone it becomes an estimated assessment.

Escalates automatically

Penalty & interest

Charges added to a period already assessed — frequently abatable if answered in time.

Abatement window applies

Filing frequency change

Monthly instead of quarterly, from a date you did not choose. Missing the first one restarts the cycle.

Effective from a stated date

Audit notice

An examination is opening. What you send in the first response shapes everything after it.

Response date set on the notice

Permit revocation

Your authority to collect is being suspended — which can stop you selling in that state.

Short cure period

Lien or levy

Collection has begun against accounts or assets. The window to stop it is the shortest of any notice.

Act immediately

Every state names these differently — a Notice of Determination in California, a Notice of Tax Due in Texas, an Assessment in New York. Different names, and each one sets its own deadline.

Not only sales tax

Regulatory Correspondence Runs on the Same Rails.

Reporting under CRS, DAC7, DAC8, CARF or FATCA generates its own post — and its own retention obligation.

Enrolment letters, submission receipts, schema rejections, correction requests and penalty notices all arrive from tax authorities on their own clocks. So do the self-certifications and supporting documents behind every reportable account, which have to be produceable years after the filing they justified.

They are held here on exactly the same terms as a sales tax notice: deadline-tracked, discussed in secure messaging, signed where a signature is required, and retained as evidence.

CRS 2.0DAC7DAC8CARFFATCA
  • Enrolment and registration letters — proof of when and where you were registered to report

  • Submission receipts — the evidence a filing was accepted, and by which authority

  • Schema rejections and correction requests — usually on a shorter clock than the original deadline

  • Penalty notices for late or incorrect reporting — frequently abatable if answered in time

  • Self-certifications and supporting documentation — retained per account, produceable on audit

  • Authority information requests — answered from the record rather than reassembled from inboxes

The platform underneath

Everything Lands in TaxDo Vault.

Not a folder we drop scans into. The record every notice, message, signature and document lives in — included with the service, and yours.

Notice register

Every notice, by entity and jurisdiction, sorted by what is closest to its deadline. One queue instead of four inboxes and a spreadsheet.

Secure document store

Registrations, certificates, returns and assessments encrypted at rest and in transit, organised by entity, jurisdiction and year.

Secure messaging

Discuss a notice with us, your advisor or your auditor inside the record itself — never as a forwarded email attachment.

Legally binding e-signature

Powers of attorney, authority responses and certifications signed in place, with signer identity and timestamp attached.

Time-bound guest access

Give an auditor or acquirer the documents in scope for a fixed window. Previews carry the viewer’s identity. Access expires by itself.

Audit trail

Who received it, who opened it, what was sent back and when — exportable, and the answer to “show me what happened” years later.

The part managed services usually get wrong

We Operate It. You Own It.

Handing someone your tax correspondence should not mean handing them your history. The account is yours. Every notice, response, signature and log sits in it, not in ours. If you ever stop working with us, you revoke our access and nothing moves — no export project, no gap in the record, no chasing a former provider for a document you already paid for. Your advisor, your filer and your auditor are invited in the same way, with access scoped to what they need and revoked in one click when the engagement ends.

Who it’s for

If a Tax Authority Has Your Address, Somebody Has to Be Reading the Post.

No US presence

Foreign businesses selling into the US

Registering for US sales tax generally requires a US address to complete the registration and to receive correspondence from the state. We are that address — so a notice is read and on the clock the day it arrives, not weeks after it was delivered.

No in-house tax team

Businesses with nobody whose job this is

For small and medium businesses, sales tax notices arrive from several states and a finance lead already has a job. We read each one, tell you what it means, and prepare the response — so a missed window never turns into an assessment.

Multi-entity

Groups registered across many jurisdictions

For global enterprises, twenty registrations means twenty correspondence streams, each on its own clock. One register of what is outstanding everywhere, with per-entity permissions underneath it.

Keep them. We handle the arrival, the clock and the preparation; they keep doing what you engaged them for. They are invited into the Vault with scoped access instead of receiving forwarded email.

Bank-Grade, Because of What It Holds.

Tax correspondence reveals revenue, structure, jurisdictions and exposure. It is handled here the way a bank handles account data — not the way a file-sharing tool handles a folder.

Encrypted at every level

Documents and messages are encrypted in transit and at rest, with keys separated per customer. Nothing sits in shared storage another customer’s access could ever reach.

Visible only to people you authorise

Access is granted per document rather than per folder, so nobody sees a record simply because it sits near one they were invited to.

Every access leaves a mark

Views, downloads, shares, signatures and revocations are logged. Previews carry the viewer’s identity, so a screenshot travels with the name of who took it.

Access that ends by itself

Guest access is time-bound by default and expires without anyone remembering to remove it — the failure that leaves former advisors reading your records for years.

Tax notice management is the handling of the letters tax authorities send — receiving them, working out what each one actually requires, and answering it before its deadline. TaxDo runs it as a service: every notice is digitised the day it lands, classified by authority, entity and type, reviewed by a tax specialist, and returned to you with a plain explanation of what it is, what it requires and when it is due, with the response prepared for your signature. Notices, documents, messages, signatures and the audit trail all live in TaxDo Vault, which is included — what you are buying is the handling.

We become the address your tax notices arrive at. Every notice is digitised the day it lands, classified by authority, entity and type, reviewed by a tax specialist, and returned to you with a plain explanation of what it is, what it requires and what the deadline actually is — with the response prepared for your approval and signature.

We prepare the response and, where you authorise it and the jurisdiction permits, submit it for you. Some jurisdictions restrict who may correspond on a taxpayer’s behalf and require a signed power of attorney; where that applies we put it in place first, and where it cannot apply we prepare everything for your signature instead.

No. There are two ways to run it. Make TaxDo your address of record so notices arrive directly to us — the version where nothing depends on anyone noticing an envelope. Or keep your existing address and scan each notice into your Vault when it turns up; a tax specialist reviews it, tells you what it requires and prepares the response exactly the same way. The only difference is when the clock starts: on arrival in the first case, on upload in the second.

A service, delivered on a platform. TaxDo Vault is where every notice, document, message and signature lives — it is included, not sold separately. What you are buying is the handling: the address, the review, the deadline management and the prepared response.

Digitisation happens the day it lands. Specialist review follows on a defined turnaround, and anything with a short statutory window — a lien, a levy, a permit revocation — is escalated ahead of the queue rather than taken in order.

No. We tell you what is owed, whether it is correct, and whether it can be reduced or abated — then you decide and you pay. We never hold or move client funds. Where a payment plan is the right answer, we prepare the request.

Correspondence from any tax authority — US state revenue departments, federal agencies and non-US authorities. Registration confirmations, filing frequency changes, nexus questionnaires, assessments, penalty and interest notices, information requests, audit letters and account closures.

Nothing is sent without your approval. The recommendation is exactly that: you see what the notice requires, what we suggest, and why. If your advisor takes a different view, they are already in the record and can say so there. Only what you sign goes out.

That is the most common reason businesses use this. Sales tax notices arriving from several states with nobody internally whose job it is to read them is exactly the gap the service closes.

They are usually the most urgent thing in the account. An assessment covering periods you never filed is not a notice problem, it is an exposure problem — we quantify it and tell you whether a voluntary disclosure closes it more cheaply than answering the notice on its own terms.

Start with what the notice actually says: which authority sent it, which tax and period it covers, what it asks for and the date it must be answered by. That date matters most, because replying on time is what protects your right to appeal. Check the figures against your own filings before you pay or dispute anything. If it is correct, pay it or ask for a payment plan. If it is not, answer as the notice instructs, with supporting documents, and keep a copy of everything. The same applies to an IRS notice and a state department of revenue letter. TaxDo Vault does this for you: we digitise the notice, a tax specialist explains it and its deadline, and we prepare the response for your signature.

The notice does not go away, and your position usually gets worse. If a return was expected and not filed, the authority can issue an estimated assessment, and it is then for you to show the figure is wrong. Penalties and interest keep adding to the balance. You can also lose the right to dispute it, because replying by the due date is what protects your appeal rights. An unpaid assessment can lead to a lien, a legal claim against your property, and then a levy, which actually takes it. Ignored notices can also end in a suspended permit to collect. TaxDo Vault is built to prevent that: every notice is read by a tax specialist, its deadline is flagged and a response is prepared for your signature.

Priced as a service rather than per seat, so the platform is included.
